PMS (property management system)

A PMS is the system a property runs on: reservations, rooms, rates, housekeeping, guests and the numbers that come out of them.

Why it matters

The word covers everything from a booking spreadsheet with formulas to an enterprise suite, which is why “do you have a PMS” is a question worth clarifying before you answer it.

The useful test is not the feature list. It is whether one system holds your bookings, your costs and your staff — because the moment those live in three places, nobody can answer what a month made.

One practical test before you buy: ask whether the system can tell you last month's profit without exporting anything. If the answer involves a spreadsheet, it is a reservation tool rather than a property management system, whatever the label says.
