If you own a property you do not run, your information arrives as a phone call and a feeling. Occupancy was good. The month was quiet. There was a problem with a room. All of it may be true, and none of it is checkable.

The gap is not usually dishonesty. It is that the facts genuinely live in people's heads, and nobody has a cheap way to get them out. So you end up either trusting a summary or flying in.

Revenue minus expenses minus payroll, updating as the month goes, because the bookings, the costs and the salaries are already in the same system. There is nothing to reconcile and nothing to wait for.

Alongside it the metrics a property is actually judged on: occupancy, average daily rate, revenue per available room, and year-on-year growth — per month, per year, and filterable to a single room when you want to know which ones pay.

One click produces a PDF for any date range — a month, a quarter, a season, or the dates a lender asked about. Your manager does not spend an afternoon assembling it and you do not spend a week waiting.

That document is usually the whole relationship between an owner in Manila and a resort in Puerto Galera. It should cost nobody anything.

At the end of each shift the person who worked it files hours, rooms handled, tasks completed out of tasks assigned, issues flagged and a short summary. It arrives awaiting approval and stays there until a manager reads it.

Over months those roll up per person — reports filed, hours, rooms, issues raised, task-completion rate. That is the first performance evidence most small properties have ever had that is not somebody's impression.

Build roles from the module list and grant only what a job touches. A housekeeper gets the room board. A cook gets the kitchen queue. Neither sees a rate, a payroll figure or your profit.

Where the business is actually coming from

Every booking records its source — direct, walk-in, returning guest, corporate, an agent — so the channel mix is a figure rather than an impression. An owner who can see that a third of revenue carries a commission has a decision to make; one who cannot, does not know there is one.

The same applies to returning guests. Guest profiles carry stay history and lifetime value, so the share of your business that came back is countable — and that number is what justifies every direct-booking decision the property makes.
