A beach property breaks differently from a city one. Salt air corrodes hardware that would last years inland, humidity strains an aircon compressor that is already running closer to its limit, and sand finds its way into anything with a moving part. Reactive maintenance — fix it when a guest reports it — costs more here than almost anywhere else, because the thing that fails first is usually the thing nobody was looking at.
Preventive maintenance is the alternative: checking things on a schedule, before they fail, instead of after. It does not need to be complicated to work. It needs to exist.
What breaks first, and why
Aircon units run harder and longer in a coastal, humid climate than the same unit would inland, which means filters clog faster and compressors see more strain — this is the single most common source of urgent maintenance tickets at a beach property, and almost all of it is preventable with a filter check on a schedule rather than a guest complaint.
Door hardware, hinges and outdoor fixtures corrode from salt air at a pace that surprises anyone used to a city property, and backup power — a generator, in areas where brownouts are a real planning consideration rather than a rare event — is the one system where a fault discovered during an actual outage is the worst possible time to discover it.
Turning 'sometime' into a schedule
The categories a maintenance board already tracks — plumbing, electrical, HVAC, carpentry, electronics — are also the right way to organise a preventive schedule, because they map onto who you would actually call for each one.
A recurring task, entered once against a category and a frequency, is what turns 'we should really check the generator sometime' into a task that appears on someone's board every month whether anyone remembers to think about it or not.
A starting schedule
This is a reasonable starting point for a small-to-mid-sized beach property. Adjust frequency to what your property has actually seen fail.

The check is a task. The fault is a work order.
These two things are deliberately separate. A recurring task — 'check aircon filters, Room block A' — is the routine itself, assigned to whoever does the round and marked done with a tap.
If that check turns something up, that is where a work order starts: a titled ticket, with a priority, a trade category and a room, moving across open, in progress and resolved. The schedule's job is to make sure the check happens. The work order's job is to make sure a found fault has an owner and does not disappear back into a mention in passing.

A maintenance board that tracks average days to close, alongside open and urgent counts, is the feedback loop that tells you whether the preventive schedule is actually reducing emergencies rather than just adding paperwork on top of them.
The number to watch is not the count of preventive tasks completed — it is whether urgent tickets, the ones that mean a guest already found the problem, are trending down over the following few months. A filter cleaned on schedule costs a few minutes of a maintenance round. A seized compressor costs the room for days and a technician callout that was not planned for. Adjusting the schedule to what your property actually sees

The honest way to tune the schedule is to read it against your own work-order history after a season: whichever trade category shows up most often as urgent, unplanned tickets is the one whose preventive frequency was set too low.
Who owns the schedule
A recurring task needs an assignee the same way a one-off fault does — 'someone checks the generator monthly' is not a schedule, it is a hope. Assigning each recurring check to a specific person, by trade, is what turns the table above from a document into something that actually happens on the fourth Tuesday of every month whether or not anyone remembers to think about it.
For a property without a dedicated maintenance hire, this usually means the general handyman or the manager owns HVAC and electrical checks personally, while housekeeping supervisors own the carpentry items closest to their daily rounds — hinges, locks, outdoor furniture — since they are already walking past them.
The mistake most properties make starting out
The common failure is not skipping preventive maintenance — it is scheduling too much of it too frequently in the first month, out of enthusiasm, and then abandoning the whole schedule a few weeks later when it turns into more line items than anyone can actually get through.
A schedule with six checks a month that all happen is worth more than one with twenty that quietly stop happening in week three. Start with the categories that have actually caused an urgent ticket in the last year — for most beach properties that is HVAC and outdoor hardware — and add the rest only once those are genuinely running on their own.
What a single check actually involves
'Check aircon filters' is not specific enough to hand to someone new. A useful recurring task spells out what the check covers in a line or two: pull the filter, hold it to the light, clean or replace if it is visibly grey, and note the unit's drainage for standing water while the panel is open anyway. Written that specifically, the same check takes the same two minutes whoever does it, and a supervisor can tell from the note left behind whether it actually happened or was ticked off without being done.
The same specificity is worth applying to the generator test — 'ran under load for ten minutes, no fault codes, fuel topped up' is a check someone can be held to. 'Tested generator' could mean anything from a full load test to glancing at it from across the room.
None of this needs to be written by an engineer. It needs to be written once, by whoever currently does the check informally, in enough detail that the next person to do it does the same thing — which is usually a five-minute conversation turned into a checklist, not a specification.
